Called Team Privacy Policy
Last updated October 28, 2026Called Team is a private app used by volunteers and staff of Called Church to plan services, schedule volunteers and track team tasks. This policy explains what the app stores and how it is used.
What we collect
- Account details: your name, email address and password. Passwords are handled by Google Firebase Authentication; the church never sees them.
- Team information you add: the positions you serve in, your schedule responses, tasks, team chat messages, team updates, checklists, documents, birthdays and anniversaries entered by the Welcome team, notes and service reports.
- Connection cards (Connection team only): a guest’s name, phone number, email and address if they give it, the date of their visit, the next steps they ask about, any notes, follow-up assignments, Belong & Believe group attendance, and weekly attendance counts. Guests can also fill out a connection card on their own phone at called-team.web.app/connect.html.
- Event sign-ups: the name, email, phone number (if asked), party size and answer to any event question that someone enters on an event sign-up page. Admins and the Connection team see sign-ups.
- Serving: the dates volunteers say they’re away, and when they check in on a day they serve.
- Prayer requests: the request, who it is for if given, and which team members are praying and their notes.
- Called Kids check-in (Kids team only): a parent or guardian’s name, mobile number and email; each child’s name, age, room and any allergies, medical needs or pickup notes the parent gives us; and the check-in and pickup times for each Sunday.
- Notification token: if you allow notifications, a device token so the app can send you schedule and task notifications.
How it’s used
Only to run the app for the Called Church team: showing schedules, sending notifications you’ve allowed, and keeping service history. We do not sell your information, show ads, or use it for tracking across other apps or websites.
Who can see it
Connection card details and follow-ups can be seen only by the Connection team and church admins. Prayer requests can be seen only by the Connection team, the Prayer team and church admins.
Children’s and parents’ details from Called Kids check-in can be seen only by the Kids team and church admins. A parent’s pickup pass link shows only the pickup code, the children’s first names and rooms, and only to someone who has that link.
Approved team members can see team members’ names, positions, schedules and the tasks and notes they share. Team leaders and admins can approve accounts and change access. Your email address is visible to team admins.
Where it’s stored
Data is stored with Google Firebase (Google Cloud) in the United States. Notifications are delivered through Firebase Cloud Messaging and Apple Push Notification service. When the Connection team scans a connection card, the photo is sent to Google’s Gemini service (Vertex AI, in the United States) to read the handwriting; the photo itself is not saved by Called Team.
Deleting your account
You can delete your account at any time in the app: tap your name at the top, then Delete my account. This removes your sign-in, your profile and your notification token. Past schedule entries and task updates may remain without your name attached. You can also ask us to delete your data by email.
Children
Called Team is used by adult volunteers, staff and parents. Children do not use the app or create accounts. For Called Kids check-in, a parent or guardian gives us their child’s details so our volunteers can keep children safe and return them only to the right adult. We use this only for Called Kids, never share or sell it, and a parent can ask us to correct or delete their family’s information at any time by emailing us.
